Comment encourager votre entourage à être plus ponctuel ?

Peut-être avez-vous comme résolution pour 2009 de réduire significativement le temps passé à attendre les autres. Vous êtes du style à arriver à l'heure à vos rendez-vous, aux réunions, … et vous enragez de devoir attendre 5, 10, 15 minutes… vos collègues, collaborateurs, managers, clients… Y-a-t-il une voie alternative à celle d'arriver soi-même avec 10 minutes de retard ?

En général, au premier de l'an nous prenons de bonnes résolutions concernant nous-mêmes : "je ferai du sport", "je travaillerai moins", … Pouvons-nous prendre des résolutions concernant les autres ?

Dans le cas qui nous concerne, la ponctualité est souvent liée à des rapports de pouvoir. Si vous êtes en rapport de pouvoir favorable sur vos collaborateurs, voire sur vos collègues, vous pouvez réussir… à réduire l'attente.

Malheureusement, si vous n'avez pas de rapport d'autorité sur les personnes concernées, ne rêvez pas : la ponctualité, ou plus exactement le manque de celle-ci est profondément ancrée dans les modes de comportement de la personne. Vos propres réactions, du style fulminer, interpeller l'autre ou regarder ostensiblement sa montre ne sont pas nécessairement des solutions adéquates à lui faire changer de comportement.

Il existe quelques méthodes qui peuvent vous aider.

Si vous êtes en rapport en force, vous pouvez, par exemple débuter une réunion sans attendre les retardataires, fermer la porte (pour les obliger à taper et à se signaler), tarder à leur remettre les documents, confier le rôle de secrétaire de la réunion au retardataire , ne jamais revenir sur ce qui a été dit ou décidé e la réunion, offrir quelque chose à ceux qui sont à l'heure (un très bon chocolat par exemple), demandez 1 euros par minute de retard (et faire une cagnotte pour un repas collectif), donner des rendez-vous avec une heure officielle avancée, donner des horaires qui retienne l'attention (9h23-10h56), …

Si vous n'avez pas de pouvoir (voire vous êtes dépendant de votre interlocuteur), réduisez le nombre de réunions avec de telles personnes. Cela vous fera non seulement gagner du temps sur les réunions, mais aussi sur le temps d'attente à chacune d'elles. Vous pouvez aussi systématiquement prévoir d'avoir du travail avec vous (répondre aux mails sur votre IPhone, lire des documents…), déterminez à l'avance le temps de participation à une réunion, un repas et ne transigez pas sur l'heure de fin (en prétextant ou non une autre réunion, un rendez-vous), apprendre à vous déstresser sur votre chaise en attendant, …

En fait, ne vous leurrez pas : vous ne pouvez contrôler que vos propres actions. Souvent, le mieux est d'exprimer vos sentiments. Il faut néanmoins apprendre à gérer cette source de frustration.

Enfin n'exagérez pas la ponctualité : il y a parfois de bonnes raisons d'être en retard (un décalage de réunions, un imprévu sur un trajet…). .Il y a dans la ponctualité à la fois une dimension comportementale (le rapport au temps n'est pas le même pour tous) et aussi culturelle : les néerlandais aiment l'exactitude. A Paris, aussi dans une limite de tolérance de quinze minutes, quand au " MAÑANA" espagnol (littéralement "demain"), il signifie aussi bien demain que jamais.

Bref, il faut apprendre d'abord pourquoi c'est important pour nous et si cela se justifie dans toutes les occasions. C'est une première étape pour apprendre à composer avec.

Bonsoir,

Avoir toute son équipe réunie à l'heure H le jour J est effectivement mission impossible... Cependant, j'ai remarqué que les retardataires sont généralement toujours les mêmes personnes (?)

C'est comme les téléphones portables qui sonnent durant les réunions => Toujours les mêmes personnes ;-)

Pour les prochaines réunions, je ne manquerai pas de tester quelques méthodes évoquées dans votre billet :-)
